Lesson and Package Policies For Students

Terms & Conditions:

  • 1. Lessons are to be scheduled at least 24 hours in advance.
  •  
  • 2. Lessons may be rescheduled without a charge, provided that a minimum notice period of 2 hours (prior to the scheduled lesson start time) is given.
  •  
  • 3. The below penalties will apply if the relevant notice period is not given
  •      – Lesson Cancellation less than 2 hours – 100% of the lesson duration will be charged
  •      – Lesson Rescheduling less than 2 hours – 50% lesson duration will be charged (Available dates and times for rescheduled lesson should be provided at time of reschedule request.)
  •      – Lesson No show – 100% of the lesson duration will be charged
  •  
  • Note: The above is charged to compensate the tutor. 
  • Lessons under the Weekly plans need to be rescheduled within the same week.
  •  
  • 4. Balance credits are transferable to siblings only at the time of purchase. Subsequent transfers are not allowed, unless the other sibling has stopped taking lessons with Tutopiya. 
  •      – Calculation of the value of credits will be at the 10-hour package rate

     –Once credits are transferred they cannot be transferred back.
     – Excludes all bonus or free hours provided.
     – Once confirmation is received from all parties, the credit transfer will be done within two working days.

5. Refunds are not allowed once you have completed the first month. Please also note refunds will be subject to terms and conditions mentioned on the refund form.

The pricing for packages is determined by the student’s curriculum, grade level, and the tier of the tutor. Please note that there may be variations in standard rates depending on special requirements such as language tutors, level of experience, and the base country of the tutor.

Rates may be changed or revised as per the discretion of the management.

8. Validity periods for the purchased package will be applicable as follows:
     – For monthly plans, the monthly committed hours will expire at the end of the same month. The package validity will be for the period purchased (3 months / 6 months or 1 year). In addition to this, the validity of the package will be extended to include the inbuilt breaks. (3 months + 30 days break / 6 months + 60 days break and 1 year + 90 days break)
     – For flexible plans, over 60 hours the package will remain valid for up to one year from the date of purchase.
     – For flexible plans under 60 hours the validity period will be 6 months from the date of purchase.

9. All monthly plans will be inclusive of breaks where an automatic deduction of credits will not be applicable during this period.

10. Lesson recordings will be available for students to review for ongoing packages. Students with no balance hours will not be able to access lesson recordings.

11. Missing Lesson recordings – 25% of the lesson will be refunded on a case by case basis.

Package Renewal and Payment Policies For Students:

  1. Parents can easily make online payments through the Tutopiya platform by accessing the ‘billing’ tab or by using the low credit emails. Once the payment is made, a receipt will be emailed to you. Promo codes are also available for use on the platform. 

  2. Monthly Plans can be purchased via the “billing” tab on the Tutopiya platform.

  3. You can conveniently settle the fees through PayNow, bank transfer or online via debit/ credit card by clicking on the link provided in the invoice email. You will receive the receipt through email once the payment is confirmed. Kindly note that only debit/ credit card payment method is available for instalment plans.

  4. Parents can take advantage of monthly payment plans when buying packages. The designated credit card will be automatically charged every month or as per the agreed schedule at the time of onboarding. The invoice provided will also specify the payment dates.

  5. To ensure secure online payments, the card provider may request additional information such as postal code or region when entering payment details. Parents should provide their own postal code or region when prompted to do so.

  6. Parents are responsible for any bank fees that may arise during international bank transfers.

  7. To ensure easy reconciliation of payments, it is recommended to include the student’s name or invoice number as reference in all bank transfers.

  1. All lessons are conducted on a paid basis only.

  2. To take a retrial with the same tutor, payment will be required along with the selection of preferred duration by parents.

  3. The second sibling is eligible for a free trial only after the first sibling has paid for their lessons.

  4. You can only book additional subject trials after purchasing a package.Parents are required to add credits if their balance falls below 10 in order to enroll in an additional subject.

  5. Students will receive referral credits for successful referrals in accordance with the referral promotion.

  6. Free referral credits will be reversed, if a refund is requested by a referred student.

  7. Refunds of 25% will be offered on a case-by-case basis for lessons with missing recordings.

 

Tutor Changes For Students:

  1. It is possible for Parents or Students to request a tutor change if they are unsatisfied with their current tutor at any time. However, there is a limit of one free tutor change trial per subject.

  2. Please complete this form if you would like to request for a tutor change.

  3. A free trial with a new tutor will be provided if the current tutor resigns.


How To Request For Additional Trials:

Students can request for an additional trial via the student profile. You will need to click on trial request tab and click on make a request.

You will be able to select the required subject and schedule an additional trial as per your convenience.


Regular Attendance policy

1. What is the Regular Attendance Policy?

The Regular Attendance Policy at Tutopiya requires each student to attend at least one session per week, with a minimum of four (4) hours per month. This attendance policy applies to all subjects/courses that a student may be taking with Tutopiya. However, this policy excludes the extended breaks that are inbuilt on the monthly plans.

2. Why have you introduced the regular attendance policy?

At Tutopiya, we have introduced the regular attendance policy to address the issue of low attendance. We have noticed that some students attend only a few sessions to cover a substantial portion of their curriculum just before important exams or evaluations. This kind of last-minute preparation often results in higher exam stress and poor marks. Therefore, regular attendance would assist in overcoming these obstacles and result in higher marks.

Moreover, regular attendance enables tutors to become familiar with the academic background of the students and identify their shortcomings or gaps. As a result, tutors can develop a specialized plan to enhance their performance in an efficient manner.

By attending sessions regularly, students will stretch the same number of sessions across a longer period of time, allowing for more absorption time between sessions. This results in improved knowledge retention and promotes academic discipline and healthy study habits. Overall, the regular attendance policy will help students achieve their academic goals in a more effective and efficient way.

3. What is the outcome if a student attends less than 4 sessions in a particular month?

If a student attends less than 4 sessions in a particular month, they will need to reschedule any missed lessons within the same month . However, if the missed lessons are not covered up during this time, lesson credits for the missed lessons will be automatically deducted.

The main purpose of this regulation is to develop academic discipline among students, and the fee is intended to discourage sporadic attendance. At the same time, we understand that some students may already be competent in certain topics and may not need frequent assistance in covering the fundamentals. In such cases, tutors can help the student attain a higher level of competency by exposing them to difficult questions or preparing them for competitive tests.

To further improve the student’s academic experience, tutors may also build a customized study plan that delves deeper into certain ideas beyond the school curriculum. By providing this kind of personalized education, tutors can help students achieve their full potential and become well-rounded learners.

4. What is the outcome if a student attends more than 4 sessions in a particular month?

If a student attends more than 4 sessions in a particular month, you will be charged for the lesson hours completed. In fact, we encourage students to attend as many sessions as they need to achieve their academic goals.

Attending additional sessions may provide students with more opportunities to engage with the material and get personalized feedback from their tutors. It may also help them to stay ahead of the curriculum or prepare for upcoming exams and evaluations.

At Tutopiya, we understand that every student has unique learning needs and may require different levels of support at different times. Therefore, we encourage tutors to work with students to create a customized study plan that meets their individual needs and helps them achieve academic success.

5. I feel that my child does not require regular sessions. What should I do?

We are happy to note that your child is independent and does not require extra support. If the new policy does not suit the needs of your child, please get in touch with our support team who will give you more information on revision and booster lessons. We would be happy to help him/her attain a higher level of competency by exposing him/her to difficult questions or preparing him/her for competitive tests. To further improve your child’s academic experience, tutors may also build a customized study plan that delves deeper into certain ideas beyond the school curriculum.

6. Am I subject to the Regular Attendance Policy if I do not attend at least four sessions (four hours) in a given month owing to: (i) travel or (ii) illness?

If a student does not attend at least four sessions in a given month due to travel or illness, they are not subject to the Regular Attendance Policy. We understand that unforeseen circumstances may arise, and we want to ensure that students have the flexibility to manage their schedules accordingly.

In the event of travel or illness, we recommend that you inform us as soon as possible so that we can make appropriate arrangements. If you miss a session due to travel or illness, you can reschedule the missed session within the same month, in accordance with our policy.

Website Privacy Policy

Tutopiya Pte Ltd is committed to protecting and respecting your privacy.

This policy, together with our Terms of Service and any other documents referred to in it, sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat them.

If you are under 18, please do not send any personal data about yourself to us and only use our services with the explicit authorization of your parent or legal guardian.

 

Information Collection

1.1 We collect both personal and anonymous data when you send us information or use our various websites, mobile application, APIs, email notifications, applications buttons and widgets (the “Services”) inclusive of

(a) Information that you provide by filling in forms on our site www.tutopiya.com (“our site“). This includes information provided at the time of registering to use our site, subscribing to our service, posting material or requesting further services.

(b) If you contact us, we may keep a record of that correspondence;

(c) We may also ask you to complete surveys that we use for research purposes and you may respond to them at your discretion;

(d) Details of transactions you carry out through our site and of the fulfilment of your orders;

(e) Details of your visits to our site and the resources that you access.

1.2 Personal data is that which can personally identify you, such as your name and email address. Anonymous data is that which cannot identify you and which is typically used in aggregation to better understand our customers. We may collect and process the following data about you:

(b) The following classes of services, products and subjects may be marketed in direct marketing:

(i) Services and products related to our services and/or our affiliates (including marketing affiliates programs we are a part of);

(ii) Reward, loyalty or privileges programs, promotional offers and related services; and

(iii) Invitations to events such as seminars/webinars/tele-seminars, conferences, live programs or events.

(c) We may conduct direct marketing via fax, email, direct mail, telephone and other means of communication or send e-newsletters to you. You may choose not to receive promotional materials, by simply telling us (see below for contact details), and we will cease to do so, without a charge.

(a) Personnel, agents, advisors, auditors, contractors, financial institutions, and service providers in connection with our operations or services;

(b) Our overseas offices, affiliates, business partners and counterparts (if any);

Governing law and jurisdiction

Nothing in this Privacy Policy shall limit the rights of the data subject under the PDPA. This Privacy Policy shall be governed by the laws of Singapore. You agree that to submit to the exclusive jurisdiction of the Singapore courts (subject to the following) have exclusive jurisdiction to settle any dispute which may arise out of, under or in connection with this Privacy Policy or the legal relationship established by them. For the exclusive benefit of Tutopiya Pte Ltd, we shall also retain the right to bring proceedings in the courts of the country of your residence.


Right to Erasure Policy

Tutopiya is an online tuition ed tech company that provides 1-1 and group classes to students from multiple syllabi including IGCSEs, GCSEs, IB, and AQA. Our student base comes from multiple ethnicities and grades across the UAE, Malaysia, and Singapore. Our tutor base primarily includes tutors from Sri Lanka and India. We are committed to protecting the privacy of our students and tutors and respect the right of individuals to request the erasure of their personal data under certain circumstances.


Scope:

This policy applies to all personal data held by Tutopiya, including the personal data of our students and tutors.


Legal Basis:

Tutopiya holds personal data on the following legal basis:

Consent: Individuals have provided their explicit consent for the processing of their personal data for specific purposes such as providing tutoring services, processing payments, and maintaining academic records.

Contractual: The processing of personal data is necessary for the performance of a contract with the individual, such as for the provision of tutoring services or for the processing of payments.

Legal obligation: The processing of personal data is necessary to comply with a legal obligation, such as for tax or regulatory purposes.

Legitimate interests: The processing of personal data is necessary for the legitimate interests pursued by Tutopiya or a third party, such as for the improvement of our services or for the prevention of fraud.


Circumstances for Erasure:

Individuals have the right to request the erasure of their personal data in the following circumstances:

Personal data is no longer necessary for the purposes for which it was collected: Personal data will be retained only for as long as it is necessary for the purposes for which it was collected. Once the purpose is fulfilled, we will delete or anonymize the data.

The individual withdraws their consent and there is no other legal basis for processing the personal data: If an individual withdraws their consent to the processing of their personal data, we will stop processing it and delete it unless there is another legal basis for processing.

The individual objects to the processing of their personal data and there are no overriding legitimate grounds for the processing: If an individual objects to the processing of their personal data, we will assess whether there are any legitimate grounds that override their interests, rights, and freedoms.

Personal data has been unlawfully processed: If personal data has been unlawfully processed, we will take steps to rectify the situation and, if necessary, delete the personal data.

The personal data has to be erased for compliance with a legal obligation: If there is a legal obligation to delete personal data, we will do so.


Procedure for Erasure:

Individuals can make a request to have their personal data erased by contacting Tutopiya’s Data Protection Officer (Lakmal – contact by emailing lakmal@tutopiya.com). The DPO will verify the identity of the individual making the request and will respond within 3-4 working days.

If the request is granted, Tutopiya will take all reasonable steps to erase the personal data, including notifying any third parties who have access to the personal data.


Consequences of Erasure:

If an individual requests the erasure of their personal data, Tutopiya may be unable to provide tutoring services or fulfill legal obligations. In such cases, we will inform the individual of the consequences of erasure.


Compliance with GDPR:

Tutopiya is committed to complying with the GDPR. This policy is subject to regular review to ensure ongoing compliance with all applicable laws and regulations.


Data Retention:

We will retain personal data only for as long as necessary to fulfill the purposes for which it was collected, including to comply with legal, regulatory, accounting, or reporting requirements. We will securely delete or anonymize personal data when it is no longer required for these purposes.
